Office Manager

Help conduct the operation of a financial advisory practice with an independent franchisee of Ameriprise Financial. Assist the financial advisor(s) in managing office work flow and business operations. Consistently follow high standards of business and professional ethics and legal and regulatory requirements.

Manage the day-to-day activities of staff including: conducting weekly touch points, delivering annual performance reviews and hiring new staff. Take the lead to manage practice financials, coordinate/track projects, organize client seminars and other practice management functions essential to a small business.

Responsibilities and time allocation will change over time to meet the needs of the practice and can include other duties as assigned by the advisor.

Position functions:

Business management

  • Maintain practice financials, budget and manage office expenses
  • Manage equipment and facilities including equipment maintenance, cleaning service contracts, and ordering office related items
  • Review procedures and implement quality improvements and efficiencies
  • Supervise administrative staff and manage team interactions
  • Delegate work and provide feedback to other support staff
  • Own the recruiting process for hiring new staff into the practice
  • Train, support and be a technical resource for other staff in the practice

Client care

  • Communicate with clients to set up meetings or appointments
  • Set up and maintain client management system
  • Maintain files and records
  • Write letters to clients and administer client appreciation

This position will be an employee/contractor of an independent Franchise Advisor, not of Ameriprise Financial.

Paraplanner

Help conduct the operation of a financial advisory practice with an independent franchisee of Ameriprise Financial. The paraplanner will assist financial advisor(s) in the financial planning workflow. This position will follow the high standards of business and professional ethics and legal and regulatory requirements.

Provide client relationship support through managing, gathering and analyzing client data, helping prepare financial plans and client deliverables, working with clients to resolve issues, coordinating/tracking projects, organizing client seminars and performing other business management tasks as needed.

Responsibilities and time allocation will change over time to meet the needs of the practice and can include other duties as assigned by the advisor.

Position functions:

Financial planning and advice/product solutions

  • Prepare financial planning recommendations and product solutions for advisor review and use
  • Prepare charts, graphs and other visual aids to be used with clients
  • Develop portfolio/robust product solution recommendations based on client needs and develop product deliverables

Client care/business management

  • Maintain client contact during the financial planning process
  • Answer questions and provide information to clients as it relates to servicing their accounts
  • Review and update client information for review meetings and attend and participate in client meetings as necessary
  • Manage and resolve client service problems

Planning Assistant

Help conduct the operation of a financial advisory practice with an independent franchisee of Ameriprise Financial. Assist in daily business operations allowing the advisor to focus on client acquisition and deepening client relationships.

This role provides client relationship and general practice management support through gathering client data, preparing client deliverables and touch points, organizing client files, coordinating/tracking projects, organizing the logistics of client seminars, setting up new business, and performing other business management tasks as needed.

Responsibilities and time allocation will change over time to meet the needs of the practice and can include other duties as assigned by the advisor.

Position functions:

Administrative/business management

  • Prepare correspondence for advisor signature
  • Copy and follow-up with home office on related issues
  • Coordinate marketing events
  • Schedule, prepare agendas and forms, and conduct reminder and follow-up calls for client appointments
  • Answer questions and provide readily available information to clients
  • Manage the flow of wholesalers in the office. Submit and track invoices for payments
  • Assist the others in the practice

Client care

  • Greet clients upon arrival
  • Set up and maintain client management system
  • Write notes or letters to clients and administer client appreciation tasks
  • Document client contact/calls

Associate Financial Advisor

Help conduct the operation of a financial advisory practice with an independent franchisee of Ameriprise Financial. Assist financial advisor(s) to help clients work toward achieving their financial goals. The franchise owner will lead you to hone your skills, build a base of clients, and create a unique client experience for the practice. This position will consistently follow high standards of business and professional ethics and legal and regulatory requirements.

This role provides client and practice support through managing client data, preparing financial plans and other deliverables, coordinating/tracking projects, organizing client seminars and other practice management tasks as needed.

Responsibilities and time allocation will change over time to meet the needs of the practice and can include other duties as assigned by the advisor.

Position functions:

Marketing and client acquisition

  • Develop and implement annual marketing plan to meet client acquisition goals
  • Drive client acquisition using referral program, network marketing and natural markets
  • Contact clients and prospects to set up meetings or appointments
  • Coordinate seminars and client appreciation events
  • Implement online marketing initiatives (website, social media)
  • Implement local advertising and media relations

Financial planning and advice

  • Identify clients to engage in planning relationships
  • Prepare planning discussions and deliverables for client meetings
  • Gather and enter client data into Financial Planning Tool Suite
  • Perform case analysis and develop recommendations
  • Conduct and participate in client meetings to deliver recommendations and advice
  • Answer questions for clients and hold clients accountable

Product solutions

  • Assess the client’s risk tolerance, goals and time frame
  • Recommend portfolio and product solutions to clients based on their needs
  • Develop product deliverables
  • Conduct transactions and execute trades to align with portfolios on behalf of clients
  • Monitor economy, markets, and world events to determine strategic rebalancing
  • Manage wholesaler relationships

Business management and client care

  • Review and implement work methods and procedures for quality improvement
  • Delegate work and provide feedback, training and technical/general support
  • Set up and maintain files, records and client management system
  • Ongoing communication with clients including email, phone calls and letters

Key traits of a successful associate financial advisor:

  • Ability to source prospective clients and present planning strategies
